Train canceled: the 100-minute rule that allows you to buy a bus ticket and claim the amount

European regulations allow arranging an alternative by train, coach, or bus when the company does not communicate options within the expected deadline. Reimbursement requires that the expenses be necessary, appropriate, and reasonable

The cancellation of a train poses an immediate decision: wait for a solution from the company or look for another way to get there. For travelers affected by a railway disruption, there is a specific protection worth knowing before buying another ticket: the 100-minute rule.

The European Consumer Centre in Spain explains that, if the company does not communicate the possibilities for alternative transport within the 100 minutes following the scheduled departure of the delayed, canceled service or the missed connection, the passenger may contract another public rail, coach, or bus service. Reimbursable costs must be necessary, appropriate, and reasonable.

The key lies in those conditions. It is not a general authorization to contract any journey and then pass the bill on to the operator. Nor does it mean that one must always wait 100 minutes: there may be an alternative organized or authorized by the company before that period ends.

From when the 100 minutes start counting

The clock starts from the scheduled departure time of the affected service, not from the moment the cancellation email arrives. Your Europe, the European Union information portal, expressly notes that reference for canceled trains.

An example makes the difference clear. If a train was supposed to depart at 18:00, the 100 minutes are up at 19:40. Receiving the cancellation notice at 12:00 does not automatically place that limit at 13:40.

During that time, it is advisable to request a solution and keep the response. To document what happened, it is useful to save the messages, the incident number, and a screenshot of the original booking. If the communication takes place verbally, one can ask for the alternative or the authorization to purchase to be put in writing.

What happens if the company is already offering an alternative

The rule refers to the failure to communicate options within the time limit. Therefore, it is not enough for the original train to still not be running for all the conditions to be considered met.

If the operator proposes a solution, the passenger must review what it consists of: departure, destination, transfers, accessibility, and travel time. When there is a specific problem - for example, an impossible connection or an unmet mobility need -, it is advisable to communicate it and ask for a response.

The regulations also contemplate that the company authorize, at the traveler’s request, a booking with another provider. That authorization makes it possible to clarify in advance which route and which expenses are accepted.

A bus is not equivalent to just any taxi or flight

The mechanism for booking without prior agreement after the 100 minutes identifies three means: rail, coach, and bus. It does not automatically include the plane, taxi, or rental car.

If the only option the passenger finds is a flight or a private transfer, the prudent thing is to request express authorization and keep it before paying. Personal urgency can explain a decision, but on its own it does not show that any amount must be reimbursed.

It is also worth comparing the full journey. A bus that ends in another city may require a second ticket; an apparently cheap departure may force the addition of accommodation. That comparison helps justify why a certain alternative was chosen.

What to keep to make a claim

Documents to claim the bus

Keep a copy of each receipt.
Document What it allows to prove
Original ticket Route, passengers, and scheduled departure time.
Notices and inquiries Cancellation, requests, and responses from the operator.
New ticket Alternative route, date, and contracted amount.
Invoice and payment Expense actually incurred and concepts included.

How to submit a clear request

The claim must explain what happened in order: contracted train, scheduled time, notification of cancellation, actions taken, and transport ultimately used. It is advisable to separate the cost of the new ticket from other concepts and attach their supporting documents.

For example, a request may indicate that an alternative was requested, that it was not communicated within the applicable deadline and that a bus was purchased to complete the journey. If there was prior authorization, it should also be included.

It is not advisable to present the refund of the train and the reimbursement of a replacement transport as equivalent. They are different concepts and must be identified to avoid duplication or processing that does not respond to what was requested.

Before sending the form, one must check that it contains a contact method, the booking reference and a specific financial request. Keeping the submission receipt makes it possible to follow the claim without relying solely on a telephone conversation.
